The Fine Print

Thank you for considering the CopperLeaf Hotel + Spa for your upcoming visit to Appleton.  In order to assure the safety and comfort of all our guests and maintain a business structure that assures orderliness and success, we have established a set of policies based on industry standards and many years of experience in hotel operations.  Adherence to these policies is just one of the many reasons CopperLeaf Hotel + Spa has such a large and ever-growing following of regularly-returning guests.  Some of our policies are quite different from a typical hotel.  We ask you take a moment to read over these policies so that you can make an informed decision about whether CopperLeaf Hotel + Spa will be as good a match for you as it is for the vast majority of our guests.  Feel free to contact the hotel directly at 920.749.0303 to confirm facts.

Age Requirement Policy

Guests must be 21 years of age or older as we offer alcohol from our in-room refreshment centers in all our guestrooms and suites.  On arrival to the hotel, the CopperLeaf Hotel + Spa requires a credit card that matches the valid government ID presented at check-in.  A person of the minimum age requirement must be present at check-in and become a registered guest in the room. All other guests must be accompanied by a responsible adult.

Alcohol/Food Policy

Outside alcohol, food, and coolers are prohibited at the CopperLeaf Hotel + Spa. Alcohol is available for sale at RYE Restaurant, RYE Tavern, and in your in-room refreshment center in your guestroom or suite. Outside food and alcohol is not permitted to be present or consumed in any of our common areas at any time.

Arrivals and Departures

Standard check-in begins at 3:00 p.m.  Check-out is by 11:00 a.m.

If you are arriving early or departing late, we have introduced early arrival fees and late departure fees.

Early Arrival Fees:

Arrival before 9:00am:  please reserve your guestroom for one night prior.

9:00am-11:00am:  $100.00

11:00am-1:00pm:  $50.00

1:00pm-3:00pm:  $25.00

Subject to availability.  Early check-in fee to be charged at time of check-in.  Please call the hotel one (1) day before arrival to confirm your requested check-in time.

Late Departure Fees:

11:00am-1:00pm:  $25.00

1:00pm-3:00pm:  $50.00

3:00pm-5:00pm:  $100.00

After 5:00pm:  reserve your guestroom for an additional night.

Subject to availability.  Please confirm your requested departure time with the receptionist upon arrival to the hotel.

Connecting Guestrooms/Suites

We do not offer any connecting guestrooms/suites in our hotel.

Damage Policy

Guests are responsible for all damages to hotel property that is deemed outside of normal wear and use. While it is understood that occasional accidents do happen, it is the responsibility of the guest to use items in a manner that is consistent with proper use and handling of such items.

Guestroom damage(s) will be applied to the form of payment on file.  Damages will be billed on a case-by-case basis.

Housekeeping Services

We have put in place enhanced cleaning procedures, and we practice social distancing to ensure a safe distance between interactions.

Daily Housekeeping services will not be provided unless specifically requested. You may request service any day between the hours of 9:00am and 3:00pm. If requested, we request that you leave your guestroom during servicing.

For our long-term guests, rooms will be serviced every third day.

Occupancy Policy

Room rates are based on single or double occupancy in guestrooms and suites. Each additional person over 18 years of age will be assessed a $20.00 per evening extra person charge.

All guestrooms and suites at the CopperLeaf Hotel + Spa have occupancy limitations in accordance with the City of Appleton Fire Code.  A maximum of two guests in guestrooms with one king bed and up to four guests in guestrooms with two double beds or two queen beds.  Our suites can accommodate up to four people.

Packages & Offers

Terms & Conditions:

King bedded accommodations only.

Limited availability.  Blackout dates apply.  Not applicable to groups.  Package rates are not valid with other offers.

Spa voucher must be used while you are staying with us.  Spa voucher has no cash value, and cannot be refunded.  Spa services need to be reserved far in advance, directly with the Spa.

Restaurant voucher must be used while you are staying with us.  Restaurant voucher has no cash value, and cannot be refunded.  Restaurant reservations need to be reserved in advance directly with the restaurant.

Restaurant package is only available Monday-Thursday only.

All hotel packages must be reserved at least seven (7) days in advance of arrival.

Credit card on file with be authorized on the day of arrival.

 

AAA / AARP / Military Rates:

AAA / AARP / Military Rates need to be reserved when you make your reservations with us and can not be applied to your existing reservation at arrival to the hotel.

Please be prepared to show proof of eligibility for your rate.  Please bring your AAA ID to verify eligibility at arrival to the hotel.  Subject to availability and blackout dates.

Parking

A loading zone is available on North Superior Street for approximately 15 minutes for loading and unloading.

The City of Appleton requires all vehicles to be off the street on the overnight.

Behind the hotel is a city-owned, covered, self-parking parking structure that we request our guests to park in.  Park on the south side of the structure [1S / 2S / 3S / 4S] and utilize the elevator or stairs in the corner of the parking structure to be closest to the hotel.

Rates for parking are $6.00 for overnight parking and can be paid at the gate at departure with a credit card or at the parking kiosk with cash.

For those guests that will be using the parking structure multiple times, our Receptionist can scan your parking ticket for you and charge your guestroom account $10.00 per day. Please inquire at the Reception Desk.

City of Appleton self parking structure:  height limitation 7 feet 4 inches.   No trailers allowed.  Motorcycle parking in designated area only.  Lost ticket fee:  $50.00.

Oversized Vehicle Parking Information:  All vehicles parked on Appleton city streets overnight will need to register each vehicle to avoid being ticketed and towed by the City of Appleton.  To register your vehicle, visit www.appleton.org, click on ONLINE SERVICES, select OVERNIGHT PARKING [from the left side panel].  Fill out the form to request overnight parking and submit form online.

Always lock your vehicle and do not leave valuables inside. The CopperLeaf Hotel + Spa is not responsible for lost items or damage to your vehicle.

Payment Policy

On arrival to the hotel, the CopperLeaf Hotel + Spa requires a credit card that matches the valid government ID presented at check-in. We will pre-authorize your credit card for 150% of your total charges for your stay.  Ancillary charges may include the following: early arrival/late departure fees, in-room refreshment center, parking fees, pet fees, RYE Restaurant/RYE Tavern room charges or Spa BenMarcNicos room charges. The pre-authorization will hold the funds until check-out, at which time the amount actually incurred during the stay will be charged.  Typically, unused authorizations will be seen back on your account within three to seven business days.  While the CopperLeaf Hotel + Spa releases unused authorizations at the time of departure, every bank and card brand will differ in the time of when these authorizations are reflected back in your account and become usable again.

Please be advised that debit cards and international cards will take longer to release funds, and we strongly encourage the use of credit cards as these tend to be the quickest to return any holds.

The CopperLeaf Hotel + Spa will not be held responsible for any resulting fees, service charges, or overdraft charges incurred as a result of the authorization.

Cash

If you choose to pay with cash, we accept cash payments at departure only. On arrival to the hotel, the CopperLeaf Hotel + Spa requires a credit card/debit card pre-authorization for 150% of your total charges for your stay.

Checks

We do not accept checks.

Debit cards

We accept debit cards; however, we highly discourage the use of debit cards for authorization at registration. If you choose to use a debit card, it will be authorized for 150% of your total charges for your stay. Your bank will immediately place a hold on the amount of funds. These funds will no longer be available for use from your bank account until payment of your account at departure. Typically, unused authorizations will be seen back on your account within three to seven business days.  While the CopperLeaf Hotel + Spa releases unused authorizations at the time of departure, every bank and card brand will differ in the time of when these authorizations are reflected back in your account and become usable again.

Please be advised that debit cards and international cards will take longer to release funds, and we strongly encourage the use of credit cards as these tend to be the quickest to return any holds.

Gift Certificates/Gift Cards

If you are using our gift card/certificate, we will accept your gift card/certificate at arrival, but the CopperLeaf Hotel + Spa requires a credit card pre-authorization for any ancillary charges.

Personal Property

The CopperLeaf Hotel + Spa is not responsible for any lost or stolen items. It is understood that there are in-room safes available in all our guestrooms and suites at no additional charge. If any item is lost or stolen, it is the guest’s responsibility to contact the Housekeeping department at the CopperLeaf Hotel + Spa to file a report and make contact with the authorities, if necessary.

Pet Policy

Dogs only. Well-trained and quiet dogs are welcome at the CopperLeaf Hotel + Spa.

If your favorite dog is joining you, a non-refundable fee of $50.00 per day, will be placed on your hotel statement. We also require you to fill out a Pet Policy Registration Form upon arrival.

Maximum: Two dogs. Weight limit: 70 pounds each.

Only select accommodations/rooms are pet friendly. It is always advantageous to reserve these pet friendly guestrooms far in advance to avoid unnecessary interruptions in your travels.  A credit card must be presented at the time of check-in to guarantee against damages or soiled carpets/soft goods in the guestroom. Damages will be billed on a case-by-case basis.

Please Note: The ADA states a certified service animal is trained to perform a task directly related to a person’s disability.  A service animal is not a pet and emotional support animals, therapy dogs, facility dogs, and companion dogs do not qualify as a certified service animal under the ADA.  Certified service animals are always welcome and exempt from all fees.

Five floors, 85 total rooms, including 22 one-bedroom suites.

Quiet Hours

Quiet hours at the CopperLeaf Hotel + Spa are from 10:00pm until 8:00am daily.

We ask all our guests to be respective of our quiet hours to ensure that all of our guests can get a good night’s rest.  During quiet hours, we ask that there is no gathering in the guest corridors, shouting in the common areas, loud music being played in the guest rooms, or anything else that could be disruptive to our other guests.

Reservation Details

Cancellation policies vary depending on the rate and the dates of your stay with us.

Advance Purchase Reservations

Our apologies, but there are no cancellations, edits, revisions, or refunds allowed on advance purchase, pre-paid or non-refundable reservations.

Age Requirement

Guests must be 21 years of age or older with a valid government issued identification and a credit card/debit card that matches the valid government issued identification to reserve and to check-in to a guestroom.  A person of the minimum age requirement must be present at check-in and become a registered guest in the room.

Back-to-Back Reservations / Multiple Reservations

We will pre-authorize your credit card for 150% of your total charges for each reservation you have with us.

Ancillary charges may include the following: early arrival/late departure fees, in-room refreshment center, parking fees, pet fees, RYE Restaurant charges or Spa BenMarcNicos charges.  The pre-authorization will hold the funds until check-out, at which time the amount actually incurred during the stay will be charged.  Typically, unused authorizations will be seen back on your account within three to seven business days.

Cancellation Policy 

Cancel or modify reservations by 3:00 p.m. CST (local hotel time) at least 24 hours prior to arrival to avoid a one (1) night cancellation penalty charge.

     EAA Air Venture (last week of July each year):

Cancel/modify reservations by 3:00pm CST (local hotel time) at least 7 days prior to arrival or you will be responsible for the entire stay.

     Green Bay Packer Home Games (August-January each year):

Cancel/modify reservations by 3:00pm CST (local hotel time) at least 48 hours prior to arrival or you will be responsible for the entire stay.

Deposit Policy     

One night’s room rate and tax is required during special events throughout the year.

Early Departure Policy     

Guests who depart the hotel prior to their scheduled departure date [on the signed registration card] are subject to an early departure fee of one night’s room and tax.

At arrival to the hotel, our Receptionist will verify your departure date.  Rates quoted are based on arrival date and length of stay. Should you choose to depart early, room rates are subject to change.

No-show Reservations 

All reservations that “no-show” will be cancelled for the entire stay at 12:00Midnight on the date of arrival unless guest(s) advise us of their late arrival time.

Third-Party Reservations     

If you choose to make a reservation on a different website than ours, you will need to contact the booking agent or the website that you reserved through in order to make any changes/edits/modifications/cancellations.

You are bound to the change/edit/modification/refund/cancellation/payment policies agreed to when reserving through the booking agent or on the website that you reserved though.

Their cancellation policies/change/payment policies may differ from our standard policies when reserving directly with the CopperLeaf Hotel + Spa.

Smoking/Vaping

The CopperLeaf Hotel + Spa is a smoke free/vape free property. Smoking/Vaping is not permitted anywhere inside of the hotel. A cleaning fee of $250.00 per night will be applied to guestroom account if you and/or your guests smoke/vape in any area of the hotel.

Taxes

All guestroom and suite rates are subject to state and local taxes, which are currently 15.5%, 10% city hotel tax and 5.5% state tax.

Tax-exempt status: To recognize your organization as tax-exempt, your Wisconsin State Sales Tax Exempt Number must be on file with the hotel 30 (thirty) days prior to your arrival date. The tax-exempt status is only applicable to amounts paid from your organizations account.

Individuals attending your event/function are not exempt from Wisconsin sales tax if they will be paying for their own charges, unless proof of tax-exempt status is shown by each individual guest.
